Know where everyone stands, including the sites you cannot visit

As you add sites, your coordinators can still only visit so many. An AI interview handles the regular check-ins, and what it hears is kept as a record.

Challenge

Why people leave does not surface until they are leaving

The further away a site is, the fewer times a coordinator gets there, and staff who cannot step off the floor are hard to schedule. Even when you do meet, there are things people will not say where the client can hear them, and they say even less if they think it could affect their next assignment. So you only hear about it once the decision has been made.

  • Sites are spread out, and coordinators cannot get round them all
  • Staff cannot step off the floor, so the meeting never gets scheduled
  • Things go unsaid, both at the client site and to the coordinator
  • What is said stays with whoever heard it, and never becomes a record

Solution

Have everyone’s situation in hand before you set off

The AI interviewer works at night and at weekends and interviews any number of people at once, so staff can take it on a break at the client site or once they are home. The camera background can be blurred, and where speaking is awkward they can answer by typing, so they can take it almost anywhere. Set the questions once and every later interview runs on the same terms.

  • Taken from a link, whenever it suits them
  • Background blur, and typing instead of speaking where that is easier
  • What people will not say to a person still ends up in the record
  • Everyone’s situation sits in one place, so visits can be prioritised

Hours and scope of work

The staff member said that since last month they have been asked to do work that is not in the contract. They find it hard to refuse, so they have been taking it on, and the load has grown.

Frequently asked questions

Does this replace the checks required of a dispatching employer?

No. The AI interview asks about each person’s situation and keeps a record of it. The procedures required of you as the employer, and the channel for career-related consultations, stay with your own people. What changes is that you have a record for every staff member, which makes it easier to decide where to visit first.

Does this work for SES (on-site IT engineering services) and other service contracts?

Yes. The contract is different from dispatch, though, so what the interview asks about changes with it. The AI interview itself works the same way: it asks the questions you set, and keeps the record. How far it goes is decided at setup, to fit the contract.

Will staff accept an AI interview?

In our 2024 survey of 612 people, 89% of those in their twenties, 84% in their thirties and 63% in their forties said they would consider being interviewed by an AI instead of a person. The reasons given were the absence of bias and harassment, and everyone being held to the same standard.

Where can they take it?

A browser is all they need. It works on desktop, smartphone and tablet, with no app to install. Once you enable background blur, staff can switch it on or off themselves, so nothing behind them shows, whether that is a break room at the client site or their own home. Where speaking is awkward they can answer by typing, and with subtitles turned on they can read what the AI says, so the whole interview can be done with the sound off.

Can we choose how the AI interviewer looks?

You can turn on an avatar. The voice and the speaking pace are set per interview room, and one customer has brought in their own mascot character.

Can we try it at a few sites first?

Yes. You just need to decide beforehand which staff go to the AI interview.

Who can see the record?

By default, the coordinator. Beyond that, you can name who else can see it, person by person.

What is kept on record?

Every interview is recorded and transcribed. When a coordinator reviews one, the recording appears alongside the questions and answers in the admin console.

How much does it cost?

Pricing works differently here than for hiring interviews: it is based on the number of staff covered and how often the interviews run. Tell us roughly the scale and we will put a quote together.
